Unscheduled early delivery from supplier.

Equipment was occasionally delivered earlier than expected without prior confirmation, complicating storage, inspection, and documentation.

Improved delivery coordination and confirmation process.

We established a clearer delivery confirmation procedure requiring prior notification and approval before dispatch, giving sufficient time to arrange receiving and inspection.

How We Delivered It

This project followed our standard delivery process, with a supplier confirmation step added specifically to prevent unscheduled early deliveries:

  1. Receipt of the Letter of Acceptance (LOA) / Letter of Award (SST) and review of the project scope.
  2. Preparation of the project implementation schedule and coordination with the client.
  3. Procurement or preparation of the equipment in accordance with the approved specifications.
  4. Quality inspection to ensure all equipment complies with the contractual specifications.
  5. Delivery of the equipment to the designated locations according to the agreed schedule.
  6. Installation and testing of the equipment.
  7. Handover of the equipment to the client, together with the relevant documents, including the Delivery Order (DO) and invoice.
  8. Obtaining the client’s acknowledgement and acceptance of the delivered equipment.

The Outcome

All equipment was delivered, installed and tested to specification across all 7 departments, with formal client acceptance and documentation completed within the agreed timeline.
